Step-by-step guide
Follow this guide to create an event, add guests, send QR passes, run live check-in, publish vendor services, receive enquiries, and review attendance.
For planners
Sign up as an event planner, confirm your email, and log in to reach the event dashboard.
Add the event name, description, date, venue, guest limit, category details, and invitation card where needed.
Use the free plan for starter events or upgrade when you need higher guest limits and premium event capacity.
Add guests one by one or import a CSV list. Include names, email or phone, table numbers, and guest categories.
Send guest invites so each guest receives a unique QR pass. You can also print or save bulk invite cards as PDF.
Add check-in team members from the event workspace. Attendants accept their invite and get access only to assigned events.
Open the Live tab to watch arrivals, scan pass codes manually, open the camera scanner, view recent scans, and monitor attendant readiness.
Use the Attendance tab to review scan results, duplicate-entry attempts, who scanned each pass, and when guests checked in.
For attendants
Open the invite link, sign in or create an attendant account, and access your assigned event.
Before doors open, refresh guests or download the offline cache so guest lookup can still work when network service is weak.
Use the camera scanner for fast entry or paste the pass code manually when a QR scan is difficult.
A valid pass checks the guest in. Already checked-in and invalid QR results are highlighted so duplicate entry is easy to stop.
If scans are saved while offline, return online and sync offline scans so the planner dashboard and attendance logs update.
For guests
Guests use the invitation email or pass link to view event details and their unique QR pass.
At check-in, the guest presents the QR code or pass code. Each pass is tied to one guest and one event.
Once a pass has been scanned, the app records that check-in and warns the team if the same pass is scanned again.
For vendors
Sign up as a vendor, verify your email, and open the vendor workspace to manage your business listings.
Save your business name, contact details, event-related category, location, service area, price range, description, and useful links.
Subscribe to a monthly vendor plan for the specific business you want to publish. A business without an active plan stays out of the marketplace.
Upload JPG, PNG, or WebP images directly from your device. Starter supports one showcase image, while Vendor Pro supports up to five portfolio images.
Signed-in users can request your service from the marketplace. BikiHQ emails you the requester details, event information when selected, and their message.
You can update details, switch plans, delete uploaded images, or remove a business listing when it should no longer appear.
Event-day tips
Use the Live tab before opening doors to confirm guests, attendants, invitation cards, and first scan readiness.
Keep at least one device signed in as the planner and one device assigned to each entrance attendant.
Download the offline cache before the event starts if the venue may have unstable internet.
Use guest search by name, email, phone, or RSVP when a guest cannot quickly find their QR pass.
Vendors should keep categories specific to event services so planners can filter the marketplace quickly.
